From brief to handover, week by week

A typical engagement runs four to eight weeks. Each stage starts only when the dependency below it is met, and every stage is written into the brief before work begins.

    Brief and scope note

    Intake call, budget band, target models and usage terms agreed in writing. You receive the scope note and the fee amount before anything is billed.

  2. 02Week 2

    Market scan and shortlist

    Six to ten candidates from EU and UA sources, each with mileage, provenance, service history and a landed cost range. Availability, pricing and specifications are subject to change and verification.

  3. 03Week 3

    Verification and inspection

    An independent pre-purchase inspection is arranged with a third-party workshop. The report covers paint depth readings, history records, diagnostics and a written condition summary.

    Depends on: seller access and an available inspection slot.
  4. 04Week 4

    Negotiation and terms

    Price position, transport quotes and seller conditions are prepared. Repair or rectification items are priced before you commit to anything.

    Documentation and transport

    Export paperwork, customs classification and registration preparation are handled in sequence. Carrier availability and border processing are the usual sources of delay.

    Handover and dossier

    The car is released at the agreed Kyiv location with the full file: invoices, inspection report, customs documents and registration paperwork.

Dates shift when inspections, carriers or border processing run long. We report the new date and the reason the same week it changes. Financing and insurance sit outside our scope; any offer you review is subject to credit approval and not all applicants will qualify.

Nobody on our team signs off on a car. A licensed inspector in the source market does, and you receive their raw report before any money moves.

    Booking the pre-purchase inspection

    We appoint an independent inspection firm in the vehicle's source market, brief them on the specific trim and options to verify, and attend the appointment slot with the seller. The report arrives unedited, with underside photographs and a written findings sheet.

    Typical turnaround: 3 to 5 business days from a confirmed appointment.

  2. 02

    Documentation and history checks

    VIN decoding, service history, accident records, outstanding finance and title status are checked against the issuing registry. Where a record cannot be confirmed, we say so in writing rather than filling the gap.

  3. 03

    Cross-border movement and handover

    Transport is quoted and booked with a carrier you approve before collection. Customs paperwork, transit insurance and delivery to an agreed handover point in Ukraine are coordinated by the same case manager throughout.

One fixed fee, stated in writing before any work begins

Every engagement opens with a written fee note. It names the fixed fee, the scope it covers and the items it does not cover. Work starts only after you approve that note, and the figure holds unless you agree to a change of scope in writing.

Included in the fee

  • Research across the source markets agreed in your brief, with comparable listings and mileage checked line by line.
  • Inspection coordination, document review and a written condition summary for each shortlisted car.
  • Negotiation support, transport booking and customs paperwork prepared for your signature.
  • A closing record of every cost we have verified, kept as a reference for your file.

Outside the fee

  • Vehicle price, delivery, customs duties and taxes, paid by you directly to the seller or to the authority.
  • Registration, insurance and any financing arrangement. Financing and insurance offers are subject to credit approval and not all applicants will qualify.
  • Repairs, storage and any work commissioned from a third party.
